Inventory Service
An Inventory report is a complete record of
the fixtures, fittings and décor of your property. The entire report
works methodically from the front entrance through each room, and
includes any outdoor space. High resolution digital photos of each room
provide a quick overview, and additional smaller images highlight items
of value, interest and damage. We also complete your reports within two
business days of the visit – reports can be sent as PDF’s/Word to an email
account, or as a bound presentation copy, or both!
A Check-In report combined with an
inventory creates a report specific to a tenancy. The check-in examines
the property on the day that the agreement begins, noting the condition
of furniture and fittings. Meter readings are noted and a photograph is
taken to guarantee accuracy. The new tenants will be asked to sign for
any keys that are passed over, and we walk tenants through the
property, highlighting any issues, with them. A Check-in provides a
schedule of condition of the property and sets the standard at which
the property should be maintained, and returned at the end of the
tenancy.
A Check-out report takes place at arguably
the most important point in your tenancy - when your tenants move out.
The check-out compares the condition at the end of the tenancy to that
on the inventory and check-in reports. Each room in the report will
have an overview, photographs and a detailed description of any changes
that have occurred in the property. We will assign liability for these
changes to either tenants or the landlord (maintenance) or to fair wear
and tear. The report also notes final meter readings, compares keys
returned to keys provided at the start of the tenancy and takes
forwarding contact details for outgoing tenants when possible.
A Mid-term report is a great security
measure when letting a property. Our clerks will conduct a review of
the property part way through the tenancy. The appointment appraises
the condition of the property relative to the length of the tenancy and
expected condition at that point in time. This allows you to keep in
touch and remain informed during the tenancy, which we find always
makes end of tenancies much smoother. In some cases, such as when
damage is noted, it allows you to make an informed decision.
Creating your inventory
With permanently employed, trained and experienced staff we will take a
very detailed inventory. Our team use digital dictation equipment and
digital photography. Once your inventory is completed the dictation
files and photographs will be e-mailed back to our central
transcription centre and your unique document will be produced. This
will have a detailed description of the state and condition of the
property and its fixtures and fittings. We use a simple condition scale
and keep abbreviations and jargon to a minimum. Clearly set out and
logically constructed our documents are accurate and easy to follow.
Once produced you will receive two copies, which are bound for ease of use. One for the landlord/agent and one for the tenant.
Abode Inventories will collect keys from Estate Agents or landlords to carry out our professional Inventory service alternatively we can meet agents, landlords or tenants at the property.
Check-out Reports are emailed to clients within 48 hours.
Inventories and Check-in Reports are emailed within 5 working days.
Hard copies (if required) are sent to the client within 5 working days of completion.
All documents will include photos where necessary and are available as Word/PDF files.
We are fully versed in the requirements of the TDS and that is why we will ensure that
documents are compiled as swiftly as possible and in the above timescales in order for agents
and landlords to proceed with any dilapidation schedules and deposit returns.
